Sending a Treatment Plan to a Patient

This guide walks you through enrolling a patient in a treatment plan and sending it to them by text message. The patient receives a secure link where they review the plan and complete checkout. It covers both ways to send: the New Treatment Plan wizard and re-sending from a patient’s record. Who can do this: A team member whose security role includes the Send Plan Enrollments permission. Team members who can customize patient plans but can’t send enrollments can still create the plan as a draft — someone with send permission texts it later.

Before You Start

  • The plan must be Active. Draft or inactive treatment plan templates don’t appear in the wizard. See Activating a Treatment Plan if yours is still a draft.
  • Have the patient’s mobile phone number. The plan is delivered by SMS, so a valid 10-digit mobile number is required.
  • Know the visit details. The wizard asks for the visit type, the provider, and the practice location before you pick the plan.

Part 1: Sending with the New Treatment Plan Wizard

Step 1 — Open the wizard

Click New Treatment Plan in the top navigation. You can also start from a patient’s record — the wizard opens with that patient already selected.

Step 2 — Work through the steps

The wizard walks you through, one choice per step:

  1. Patient — Search for an existing patient, or enter a new patient’s name and mobile number. (A brand-new patient isn’t saved until you actually send the plan, so closing the wizard leaves nothing behind.)
  2. Visit Type — How this enrollment came about.
  3. Provider — The prescriber responsible for the plan.
  4. Location — The practice location. This determines the pricing schedule used and the practice name in the patient’s text message.
  5. Plan — Pick from your active treatment plans. Each medication must have exactly one starting dose selected; the wizard flags any medication that still needs one.
  6. Review — Confirm the plan’s billing options and prices. You can customize prices for this patient here. You can’t continue while any visible billing cycle is missing a price.

Step 3 — Send the text

Click the final button to finish. A dialog appears: “Send Treatment Plan via Text.”

  • Confirm or edit the mobile phone number.
  • The message preview shows what the patient will receive, for example: “DrWell: Your treatment plan from [your practice name] is ready. View details: [secure link]”
  • Click Send Text.

You’ll see a “Treatment plan sent” confirmation. Nothing is created until you click Send Text — cancelling the dialog discards the enrollment entirely.

Note: If your role can’t send enrollments, the wizard saves the plan as a draft on the patient’s record instead. A teammate with send permission can text it from there (see Part 2).

Part 2: Sending (or Re-sending) from the Patient’s Record

Any plan in Draft or Sent status can be texted from the patient’s record:

  1. Open the patient and find the plan card under their treatment plans.
  2. Click Send Text to Patient.
  3. The dialog pre-fills the patient’s mobile number from their profile — confirm or correct it (a full 10-digit number is required).
  4. Click Send Text.

Sending a Draft plan updates its status to Sent. Re-sending a Sent plan issues a brand-new secure link — the previous link stops working, so the patient always lands on the latest version.

What the Patient Sees

The patient receives a single text message with a secure, plan-specific link. Opening it shows their personalized treatment plan — medications, pricing, and billing options — where they review, choose their options, and complete checkout with payment.

Tracking the Plan After Sending

The plan card on the patient’s record shows the current status:

Status

Meaning

Draft

Created but not yet texted to the patient.

Sent

Texted to the patient; waiting on their review and checkout.

In Progress / Purchased

The patient completed checkout. Subscriptions show In Progress; one-time purchases show Purchased.

Paused / Complete / Cancelled

Later lifecycle states after purchase.

FAQ & Troubleshooting

The patient says they didn’t get the text. Confirm the mobile number in the dialog is correct (landlines can’t receive SMS), then use Send Text to Patient on the plan card to re-send. Each re-send generates a fresh link.

The old link stopped working after I re-sent the plan. That’s by design — re-sending revokes the previous secure link so only the newest one is live. The patient should use the most recent text.

I can’t find my plan in the wizard’s plan step. Only Active treatment plan templates appear. If yours is a draft, activate it first (see Activating a Treatment Plan).

The wizard won’t let me finish from the review step. Every visible billing cycle needs a price, and every medication needs exactly one starting dose selected. The wizard highlights what’s missing.

The Send Text button is disabled for me. Your security role doesn’t include the Send Plan Enrollments permission. You can still create the plan as a draft; an administrator can adjust your role or send the text for you.

Can I send the plan by email instead? No — treatment plans are delivered by text message with a secure link.

Does sending charge the patient? No. Nothing is billed until the patient opens their link and completes checkout themselves.
