Adding Service Providers & Prescribers to Your Team
This guide walks you through adding new team members to DrWell Connect, including staff, service providers, and prescribers. It covers both places where you can add team members: the Settings → Team page and the onboarding setup wizard. Who can do this: A team member whose security role includes permission to add team members (for example, an Administrator).
Before You Start
Have the following information ready for each person you’re adding:
- Full name and email address (the activation email goes to this address)
- Security role you want to assign (e.g., Administrator, Staff, Front Desk)
- For service providers: their provider type (e.g., Nurse Practitioner, Physician)
- For prescribers (optional at invite time): NPI number, state license details, and DEA number & expiration date
- If the switch is grayed out, all of your plan’s provider licenses are in use (see Provider License Limits below).
- Staff members who don’t see patients can skip this — just click Save.
Tip: You don’t need every credential up front. Prescribers confirm their own NPI and DEA details when they activate their account.
Step 1 — Open the Team page
- Sign in to DrWell Connect.
- Go to Settings → Team.
- Click Add Team Member.
- NPI Number — Enter the provider’s 10-digit NPI. DrWell Connect looks it up in the national NPI Registry automatically and shows the verified provider name, specialty, and any state licenses on file.
- Provider Type — Required. Choose from your practice’s configured provider types (e.g., Nurse Practitioner, Physician Assistant, MD).
- State Licenses — Licenses found via the NPI lookup are pre-filled. You can add more with Add License (state, license number, expiration date) or remove ones that don’t apply. Expiration dates must be in the future.
- DEA Number (prescribers) — Enter the provider’s 9-character DEA number (2 letters + 7 digits, e.g., AB1234563) and its expiration date. The number is checked for a valid format and checksum as you type — a red error means a digit was mistyped.
- Confirm or edit the email address the invitation should go to.
- Check the confirmation box acknowledging the new member will have access to patient health information.
- Click Send.

Step 3 — (Optional) Make them an Account Manager
In the Account Management section, turn on the Account Manager switch if this person should manage billing for your practice — upgrading the account, adding add-ons, updating the bank account or card on file, and viewing invoice statements.
Most team members do not need this. Leave it off unless they handle your practice’s billing.
Step 4 — (Optional) Make them a Service Provider
In the Provider Settings section, turn on the Service Provider switch if this team member sees patients and manages appointments.
Step 5 — Configure the provider (providers only)
When the Service Provider switch is on, clicking Save opens the Provider Configuration panel:
Click Save on the configuration panel to continue.
Step 6 — Send the activation email
After saving, you’ll be prompted to send an activation email:
The new team member receives an email with an activation link. They set their own password, complete two-factor authentication setup, and — for prescribers — confirm their NPI and DEA details during their own guided onboarding
